Mintek Unveils New Website, Introduces Transcendent

DUNEDIN, FLA.—Mintek Mobile Data Solutions, a leading provider of automated asset management and preventive maintenance (PM) systems, has unveiled its new website at www.mintek.com. The site highlights Trancendent, the company’s Web-based system that enables hotel owners and operators to manage five important processes: preventive maintenance, asset management, capital expenditure (CAPEX) planning, work orders, and document and contract management.

The easy-to-navigate website provides quick access to information not only about Transcendent, but also the latest Mintek news, product training, weekly webcasts, and online support. Site visitors can also schedule a product demo directly from the Mintek home page.

“We are excited to launch this new website,” says Lind Hutton, president of Dunedin, Fla.-based Mintek Mobile Data Solutions. “The site clearly presents the systems Mintek offers, how they work, and the many ways they provide value by adding efficiencies and reducing costs.”

How Transcendent Works

With Transcendent, one can create a detailed database of all of a property’s (or multiple properties’) asset information and specs with the ability to project replacement costs and run CAPEX reports. An Asset Tree within Transcendent allows one to organize assets by property, region or company.

“From high level reporting to tearing down equipment, you know where everything is, when it is maintained, and when it will need to be replaced,” Hutton says. “Accessible from the Web as well as mobile handheld devices, you can be sure that your valuable assets are under your control and are well taken care of at any time.”

Using Transcendent’s Inspection Master, engineers responsible for overseeing PM at a property or multiple properties can update and monitor scheduled inspections. Transcendent incorporates handheld devices and bar coding to ensure that PMs are accomplished on time. Bar codes are discreetly placed on every item needing a PM. When an engineer scans a bar code, it prompts him to answer previously determined questions. After the PM has been completed, the bar code is scanned again. Each step is recorded within Transcendent.

Mintek’s system, which also makes it easy to record unscheduled maintenance, adds accountability to the PM process because managers know exactly when an engineer was at a location, what was recorded, and how long the engineer was there. Transcendent, which automates PM scheduling, utilizes Motorola’s MC Series of handhelds that feature color screens, increased RAM, and powerful processors that dramatically increase scan times. Windows Mobile devices include wireless radio options and function using Bluetooth, WAN, or WWan systems (Sprint, Nextel, Cingular).

Work Requests Made Easy

Another integral part of Transcendent is Work Requests (aka WORX). It enables anyone inside or outside of the engineering department of a hotel—engineers, housekeepers, general managers, f&b staff and others—to submit work orders via the browser-based system. The status of each work order—whether “Open,” “Assigned,” or “Closed”—is visible along with the name of the engineer assigned to perform the task. E-mails automatically sent from the system keep staff up to date on work order status. Work requests can also be submitted via the handheld device by maintenance personnel.

“Hoteliers traditionally have used several, often inefficient methods to submit and track work orders,” Hutton says. “These have included phone calls to engineering, written work orders, and shared spreadsheets. WORX consolidates the best work order processes in one online tool and ensures that no maintenance issues fall through the cracks. The end result is superior guest and staff satisfaction.”

Work orders, which can be filtered by problem type and location, can be reviewed in a calendar mode, enabling managers to make quick assignments or reassignments.

With Transcendent’s Round Master, one can create rounds to perform daily, weekly or monthly—whether for security walks, inventory, IT/computer maintenance, etc. One can record readings and perform tasks using this powerful tool.

A Work Dashboard allows one to view workload as one would a regular calendar. Rescheduling work is a breeze with drag and drop functionality, and simply mousing over the description will give one all of the information one needs to ensure that work gets done on time. With a choice of dashboard views, one can be sure associates have a manageable schedule.

More Efficient Document Management

Important documents such as warranties, architectural designs and maintenance contracts also can be stored as PDFs within Transcendent. Documents can be linked within the system to their related assets. An elevator and its PM history, for example, can be linked to its maintenance contract.

“One company was able to save $2 million in the first week just by analyzing maintenance contracts,” Hutton says. “Transcendent made it easy to assess contract status.”

Here is just a sample of the types of reports that can be generated from Transcendent: PM history reports, inspection result reports, round history reports, open work load reports, parts needed reports, and facility overview. Other types of reports can be created with Mintek’s built-in report writer. Reports can either be viewed online or e-mailed automatically.

“The end result from using Transcendent is an improved guest experience and a property or properties that are better maintained—all at a lower cost,” Hutton says.
